What information do I collect?

When you contact me or use my services, I may collect:

  • Your name, age and contact details.

  • Your address, telephone number and email address.

  • Your GP and emergency-contact details.

  • Information about your health, wellbeing and personal circumstances.

  • Appointment, payment and correspondence records.

  • Brief session notes.

  • Information submitted through my website or booking system.

I only collect information that is reasonably needed to provide safe, ethical and professional therapy or coaching.

How will I use your information?

Your information may be used to:

  • Respond to enquiries and arrange appointments.

  • Provide counselling, psychotherapy or therapeutic coaching.

  • Manage payments, cancellations and communications.

  • Maintain appropriate professional records.

  • Respond to safeguarding concerns or serious risks.

  • Meet legal, insurance, tax and professional requirements.

  • Operate and improve my website and booking system.

I will not sell your information or use it for unrelated marketing.

Confidentiality and sharing information

Your information is treated as confidential and will not normally be shared without your agreement.

Information may need to be disclosed where:

  • There is a serious risk of harm to you or another person.

  • There is a safeguarding concern involving a child or vulnerable adult.

  • Disclosure is required by law or ordered by a court.

  • Information is needed to respond to a complaint, legal claim or insurance matter.

Where appropriate and possible, I will discuss this with you before sharing information.

I attend regular clinical supervision and may discuss aspects of my client work with my supervisor. Names and identifying details are not normally used, and my supervisor is also bound by confidentiality.

Third-party services

I may use trusted providers to operate my practice, including:

  • Squarespace for website hosting.

  • Squarespace or Acuity Scheduling for appointments.

  • Payment, email and video-call providers.

  • Secure record-storage and accounting services.

These providers process information under their own privacy and security arrangements. Some may store information outside the UK using appropriate legal safeguards.

How is information stored?

Electronic information is stored on password-protected devices and secure systems. Contact details may be stored on my password-protected mobile telephone using limited identifying information.

Paper records, where used, are stored securely.

While reasonable precautions are taken, no email, website or electronic system can be guaranteed to be completely secure.

How long is information kept?

I normally keep:

  • Enquiries that do not result in an appointment for up to six months.

  • Session notes and relevant client records for five years after our work ends.

  • Routine contact details for up to one month after our work ends.

  • Financial and invoice records for the period required by HMRC.

  • Safeguarding, complaint or legal records for as long as reasonably necessary.

Information is securely deleted or destroyed when it is no longer required.

Your rights

You may have the right to:

  • Request a copy of your information.

  • Ask for inaccurate information to be corrected.

  • Ask for information to be deleted or restricted.

  • Object to certain uses of your information.

  • Withdraw consent where consent is being relied upon.

  • Complain about how your information has been handled.

These rights may be limited where information must be retained for legal, professional or safety reasons.
